Bookkeeping & Finance Back Office

Daily bookkeeping, reconciliations, accounts payable and receivable, payroll support and month end close, run by trained staff inside your own accounting system. Built for firms carrying more work than they can staff.

The shortage here is real, and it is not going away

Why this exists as a service at all A very large number of experienced accountants have left the profession over the last few years and have not been replaced. Firms report that qualified hires are the hardest part of running the practice, and the share of finance leaders using an outside provider for at least part of the function has climbed steeply. Bookkeeping, accounts payable and receivable, and payroll are the three functions that move first, because they are high volume, rules based and easy to check.

Who this is for Accounting and bookkeeping firms carrying more client work than they can staff, finance teams inside multi entity groups, e-commerce brands with messy channel reconciliations, agencies, property managers and franchise operators.

Daily and monthly bookkeeping

  • Transaction categorisation to your chart of accounts, not an invented one
  • Bank, credit card and merchant reconciliations, including the payout timing differences that make e-commerce reconciliations painful
  • Document capture and filing through Dext or Hubdoc so the evidence sits with the entry
  • Ledger clean up on neglected books, with the corrections documented so an accountant can follow them
  • Multi entity and intercompany bookkeeping, and platform migrations between systems

Accounts payable and receivable

  • Invoice capture, coding, approval routing and scheduled payment runs
  • Vendor onboarding, statement reconciliation and query handling
  • Customer invoicing, dunning sequences and collections follow up with a record of every contact
  • Ageing reports that are actually worked rather than printed

Month end close and reporting

  • A written close checklist with owners and dependencies, run the same way every period
  • Accruals, prepayments, depreciation schedules and recurring journals
  • Balance sheet reconciliations with supporting schedules attached
  • Management reporting packs, budget against actual, and cash flow reporting
  • Sales tax preparation and contractor reporting support

Payroll support

  • Timesheet collection, validation and payroll data preparation
  • New starter and leaver processing, deductions and benefit changes
  • Payroll journal posting and reconciliation back to the ledger
  • Filing support alongside your payroll provider

Systems we work inside

QuickBooks Online, Xero, NetSuite and Sage Intacct as the ledger. Bill.com, Ramp, Brex and Expensify for payables and expenses. Dext and Hubdoc for capture. Gusto, ADP and Rippling for payroll. A2X for e-commerce settlement, and Fathom or Float for reporting and forecasting.

How the arrangement works

White label for firms Your client never has to know we exist. We work inside your systems, to your templates and your review process, and your reviewer signs the work.

Direct for finance teams A bookkeeper or an AP clerk placed on your team, working your hours and your close calendar, supervised by us with cover built in.

Controls Least privilege access on accounts you create and control, named people on your books rather than an anonymous pool, segregation between the person entering and the person reviewing, and signed confidentiality at company and individual level. We do not take payment authority.

Two ways to keep the books

Pick one, or run both The books can be kept by a trained bookkeeper, tightened up with a system that does the coding and matching for you, or run as both so the rules clear the routine entries and the bookkeeper works everything the rules could not.

A bookkeeper on your books

A named person inside your accounting file, not an anonymous pool, with a reviewer above them.

  • Daily coding, bank and card reconciliation and clean up of a neglected file
  • Accounts payable and receivable, supplier statements and collections chasing
  • Month end close, accruals, prepayments and the management pack
  • Payroll support and the queries that need someone to actually think

A bookkeeping system

The mechanical part built once inside the software you already pay for, so the same work stops being typed every week.

  • Bank feeds and coding rules that clear the transactions that never vary
  • Receipt and invoice capture that reads the document instead of you keying it
  • Supplier statement matching and duplicate detection before anything is paid
  • Recurring journals, approval routing and management reports built on schedule
  • Alerts when a balance, an ageing bucket or a margin moves out of range

Both together

What most clients end up with. The rules take the volume, the bookkeeper takes the exceptions, reviews what the rules did and owns the close.

  • The system never gets the last word on a coding decision
  • Every rule is documented so you can see why a transaction went where it did
  • Segregation stays in place between whoever enters and whoever reviews

What stays with you either way We do not take payment authority. Approval and payment release stay with your people, on accounts you create and control, whichever of the two routes you choose.

Frequently asked

Can you work white label under our firm's name?

Yes, and for accounting and bookkeeping firms that is the usual arrangement. We work inside your systems, to your templates and your review process, and your reviewer signs off. Your client does not need to know how the work was staffed.

Which accounting systems do you work in?

QuickBooks Online, Xero, NetSuite and Sage Intacct as the ledger, with Bill.com, Ramp, Brex, Expensify, Dext, Hubdoc, Gusto, ADP, Rippling and A2X around them. If you use something else we will learn it rather than ask you to move.

Do you get access to our bank accounts?

No payment authority. Access is least privilege, on accounts you create and control, and we keep the person entering separate from the person reviewing. Payment approval stays with you.

Can you clean up books that have been neglected?

Yes, and it is a common starting point. The clean up is documented as it goes, so an accountant can follow every correction rather than inheriting a mystery.

Are your bookkeepers qualified?

They are tested on real work resembling yours before they reach you, and reviewed by someone senior. Where a role needs a specific credential we will say so up front rather than imply one.

Can the bookkeeping be automated instead?

The mechanical half can. Bank feeds and coding rules, receipt and invoice capture, supplier statement matching, recurring journals and scheduled management reports all remove typing that somebody is doing every week. The judgement, the exceptions, the clean-up and the close stay with a bookkeeper who also reviews what the rules did. We do not take payment authority in either arrangement.
