You already know what it costs to get this wrong A half-configured sub-account, numbers that cannot send because registration was never finished, workflows that fire twice, and a snapshot somebody sold you that nobody can explain. Apex Automation Team keeps people who work inside GoHighLevel every day. You can hand us the build, keep us on a retainer, or have a specialist placed on your team and managed by us while they work to your instructions.
Account setup and snapshots
- Agency and sub-account structure, user roles and permissions, launchpad completion
- Snapshot design from the ground up, covering pipelines, tags, custom fields and values, calendars, forms, templates, workflows and dashboards
- Snapshot versioning, refresh and push to linked sub-accounts, with a record of what changed
- Industry snapshots built for your niche rather than a generic template nobody edits
- White label setup: branded app domain, branded link domain, dedicated sending domain and client portal domain, each configured as its own record
- Branded mobile and desktop app rollout
Funnels websites and stores
- Funnels, websites, blogs and stores built in the native builder
- Global sections and template libraries, so a header change does not mean editing forty pages
- Order forms, two-step forms, order bumps, one-click upsells and downsells
- Split testing with traffic distribution and a declared winner
- Memberships and courses with categories, lessons, drip schedules, quizzes and certificates
- Communities and the client portal, branded to your domain
- Forms, surveys and quizzes with conditional logic, sticky contact and payment elements
- SEO metadata, schema, canonical URLs, sitemaps, tracking scripts, custom CSS and JavaScript
- Page speed work, image optimisation and separate mobile treatment where it is needed
- Imports from other funnel platforms
Workflow automation
- Workflow architecture on the current builder, including migration off the legacy campaigns and triggers that are no longer maintained
- Triggers, actions, wait steps, if and else branches, goal events, go to steps and drip mode
- Premium steps where they earn their cost: custom webhooks, inbound webhooks, custom code, arrays, text and number formatters and sheet writes
- Speed to lead, missed call text back, appointment confirmation and reminder sets, no-show recovery
- Database reactivation, abandoned checkout recovery, long term nurture, stale opportunity revival and review requests
- Pipelines and opportunity stages that match how you actually sell, with lead value and lost reason capture
- Calendars of every type including round robin, class booking, collective and service calendars, with buffers, payments and two-way sync
- Version history and stats review, so a workflow is judged on enrolment and completion rather than on hope
Phone messaging and AI agents
- Number provisioning, forwarding, whisper messages, call recording and timeout behaviour
- Number pools and dynamic number insertion for call tracking and attribution
- Interactive voice response built in workflows, with gather input, play message, connect and voicemail steps
- A2P registration done properly: brand registration, campaign use case, sample messages, opt-in wording, policy pages and the consent checkboxes that get approvals through
- Toll free verification where that is the right path
- Email sending domain authentication, records, verification and deliverability practice
- Conversation AI across messaging channels in suggestive or automatic mode, with goals, brand voice and training
- Voice AI agents for inbound and outbound calls, with transfer, booking, workflow triggering and knowledge base attachment
- Prompt design and tuning, because an agent is only as good as what it was told
SaaS Mode integrations and reporting
- SaaS plan architecture, categories, pricing, trials and feature toggles
- Rebilling markups, wallet and auto recharge policy, and reselling configuration
- Checkout and sign-up flow that provisions the sub-account and applies the right snapshot automatically
- Payment provider connection and product setup
- Migrations in from other CRMs and marketing platforms, with contact, opportunity and history mapping
- Integrations through the API, webhooks with signature verification, and bridges through Zapier, Make or n8n
- Ad platform connections, conversion tracking, attribution and offline conversion feedback
- Dashboards, custom metrics, custom reports and scheduled delivery
- Marketplace app work where a gap needs filling with something custom
How you can take it
There are three ways to take it and the team is the same A fixed build handed over with documentation. An ongoing retainer where we keep improving it. Or a specialist placed on your team, working your hours and your priorities while we handle the supervision, the cover and the quality. If your requirement changes, the arrangement changes with it.
Frequently asked
Can you take over an account somebody else set up?
Yes, and it is a common request. We audit what exists, list what is misconfigured or half finished, and tell you plainly what is worth keeping and what should be rebuilt. Legacy campaigns and triggers are migrated into the current workflow builder, because the old system is no longer maintained.
Our numbers cannot send messages. Can you fix registration?
Usually yes. Most failures come down to a brand or campaign submission that does not match the business records, a missing or non-compliant opt-in method, policy pages without the required wording, or consent checkboxes that are pre-ticked or combined. We correct those and resubmit, or take the toll free verification route where that fits better.
Do you build snapshots we can resell?
Yes. We build the source sub-account properly, capture it as a snapshot, version it, and document what it contains and what has to be configured after loading, since things like domains, phone numbers, email authentication and payment connections never travel inside a snapshot.
Can you set up SaaS Mode so we can sell the platform?
Yes. Plan architecture, categories, pricing and trials, feature toggles, rebilling markups, wallet and auto recharge policy, the checkout that provisions the sub-account and applies the right snapshot, and the reporting to see recurring revenue.
Can we just borrow a specialist instead of buying a project?
Yes. We place a GoHighLevel specialist on your team, working to your priorities, while we keep the supervision, the quality checks and the cover for holiday and sickness. You direct the work, we stay responsible for the person.
